New Faculty Checklist

Offers of employment are contingent upon the successful completion of all applicable onboarding requirements. To ensure a smooth transition into your new role as a University of Miami faculty member, we encourage you to review the items below:

  • Background Screening

    After accepting an offer of employment, you will receive an email invitation from Sterling Infosystems to complete a background check.

  • Proof of Terminal Degree

    Submit your official transcript for your highest degree conferred to facultyaffairs@miami.edu. Unofficial copies cannot be accepted to fulfill this requirement. 

    Mail-in submissions must be addressed to the Office of Faculty Affairs, 1252 Memorial Dr, Suite 235 (Ashe Administration Building), Coral Gables, FL 33146.

  • Form I-9, Employment Eligibility Verification

    Under federal law, all employees are required to present original, acceptable, and unexpired documentation evidencing identity and employment authorization.

    After reviewing the Lists of Acceptable I-9 Documents, employees must present original copies of their chosen document(s) for verification within their first 3 days of employment. Please be aware that failure to comply within the federally mandated time frame will result in termination.

    Coral Gables Faculty: To present your chosen I-9 document(s) in person, please visit the Office of Faculty Affairs any time Monday through Friday between 9:00 a.m. and 4:30 p.m. (no appointment necessary).

    Rosenstiel Faculty: To coordinate an in-person I-9 verification on the Rosenstiel School Campus, please contact Cassandra Wiggins at cwiggins@miami.edu.

    If a remote I-9 verification is preferred:
    Email a photo of your chosen document(s) to facultyaffairs@miami.edu and include your earliest availability for a brief Zoom meeting to complete the mandatory verification step. Please be prepared to present the original copy of your chosen document(s) over video at the time of this meeting.

  • Workday Onboarding Tasks

    Once you receive your Cane ID credentials from UMIT:

    Log in to Workday to complete all inbox items awaiting your action. For questions regarding your login credentials and/or Workday account, please contact the Help Desk at 305-284-6565 or help@miami.edu.

  • Cane Card & Parking Permit

    Coral Gables Faculty: After you receive your Cane ID credentials from UMIT, you may report to the Parking & Transportation Office to pick up your Cane ID Card and request a campus parking permit.

    Rosenstiel School Faculty: Please contact Cassandra Wiggins at cwiggins@miami.edu to request your UM Cane ID Card. Once your hire date has passed, you may report to the Rosenstiel School Campus Parking Office to request your parking permit.

  • "I am the U" Orientation

    The following task is only required for new FULL-TIME faculty members:

    “I am the U” orientation sessions are offered every Monday from 9:00am - 10:30am (EST) via Zoom. New (full-time) faculty can submit their preferred session date to facultyaffairs@miami.edu and a member of our team will process your registration accordingly.

  • ULearn Education Modules

    The following task is only required for new PART-TIME faculty members:

    On or after your first day of employment, log in to ULearn and click “My Transcript” to access the training curriculum labeled “Coral Gables Campus and Rosenstiel School Onboarding Education”.

    Please be aware that this task cannot be completed prior to your first day of employment as the training will not be assigned until your official date of hire.

  • CaneLink & Blackboard

    Within 24 hours of your official hire date, your account details will sync from Workday to the CaneLink information system. After the transfer is complete, schedulers will be able to assign you to your classes using the CLSS scheduling system. To verify your assignment(s) as an instructor, please consult with your school scheduler.

    Once your classes have been assigned, your faculty role and credentials will be generated in CaneLink, granting you access to Blackboard (which syncs every 30 minutes). Faculty can expect to receive access to CaneLink and Blackboard courses within 1-3 days. Requests for technical support can be submitted here.

  • COI Training & Disclosures

    The University of Miami Conflict of Interest, Conflict of Commitment, Foreign Influence, and Institutional Conflict of Interest Policy addresses institutional vulnerabilities related to Conflicts of Interest (COI) and Foreign Influence. All covered persons, including faculty, must complete COI training and disclose their outside interests to the university on an annual basis. Please access the UDisclose System to complete the training and disclosure process.

  • Foreign National Payroll

    The following task is ONLY applicable for foreign national employees (i.e., non-resident alien employees who are on a visa. For example: J-1, H1B, O, TN, etc.):

    Complete this form to begin processing your foreign national information and request access to the Foreign National Information System (FNIS): Employee Information > Payroll > Foreign National > FNIS Access > Select the visa type > provide the details and submit.

    Once the access request has been processed, you will receive a separate email directly from FNIS with instructions on how to log into the system, submit the information, and provide supporting documentation needed to complete the process.
